Student Refunds

Students with a credit balance resulting from federal aid and/or federal loan monies will automatically receive a refund, after all charges are covered and a credit exists on their account.  

Students receiving federal loans can expect to receive 2 email notifications:

  1. The first email notification will come from the US Department of Education. This "disclosure statement" email will confirm the net loan amount approved for disbursement.
  2. The second email notification will come from the Financial Aid Office. This email confirms loan funds have been received by the school and are posted to the student account. Once loan funds have posted, the refund process will begin, if eligible.

Refund Options

We have partnered with Heartland ECSI to process student refunds. To ensure you receive your refund quickly, we recommend you sign up for direct deposit. Eligible students will receive an email from Heartland ECSI  with their Heartland Key and instructions for how to register. Students must have a United States Bank Account in order to receive refunds electronically.  If you have any questions or need assistance, please contact ECSI directly at (844) 760-6052 or visit https://heartland.ecsi.net. We recommend making Heartland ECSI a safe email contact to ensure all communications regarding your refund are received. 

Students not enrolled in direct deposit will receive a paper check mailed by Heartland ECSI and sent to the student's campus box or current address on file.

Students who change from living on campus to off campus must notify the Student Accounts office immediately to ensure the campus mailbox is closed and refunds are mailed to the permanent address. 

Submit an address change by completing the following steps:

  • Login to InsideCBU
  • Click on your profile picture in the upper right corner
  • Click on My Profile & Settings
  • Click on Contact Information along the left side
  • Click on the dropdown arrow in the Address bar
  • Click on Current Addresses
  • Edit the existing address to reflect your new address
  • Click save. Please note: It may take the system up to 1-2 business days to process and reflect the change.

Timeline

Refunds will be processed within two weeks in accordance with federal guidelines. The university is committed to processing refunds as quickly as possible. Please note paper checks are processed by ECSI and mailed outside of California, which may extend the time frame your check is received. We encourage you to sign up for direct deposit to avoid any mailing delays.
